EngageRM's Dynamics and Office 365 Tip o' The Day, #1

By default, Dynamics 365 is configured to automatically create Contacts from an email.  If an email address is not recognised by SportsRM or CouncilRM, the Contact is automatically created - even if it's ya mum!

To disable this feature and to keep the data in your system "professional" - sorry mum - click the Personal Settings "cog" icon from the top-right of your navigation bar, and then select Options.

The Set Personal Options dialog appears (see screenshot below), click the Email tab.  If the Create checkbox, from the Automatically create records in Microsoft Dynamics 365 section is checked, deselect this field, and then click OK.

Recently Viewed Items is a great way to find your records, fast!  Similar to browsing history, or internet favourites, recent items can be accessed at a record-type level, or at a global level.

Record-Type Recent Items
Click the drop-down arrow to the right of the record-type label, e.g. Accounts (see screen-shot below), or Invoices.  Record-type recent items cannot be pinned and so will just cycle through as you access records.

Global Recent Items
Recent records.. but also, recent views!  Click the Recently Viewed Items icon, top-right of the navigation bar.  Unlike record-type recent items, these can be pinned to the top of your list.

EngageRM's Dynamics and Office 365 Tip o' The Day, #3

Sometimes, in Microsoft Teams meetings, you won't always want to share what's happening behind you with others on the call.  You might have expensive artwork on the wall, like Dogs Playing Poker, or maybe your partner is getting ready to shower!

From the Teams console, click the "three dots" - a.k.a., the ellipsis (...) - and select, Blur my background. To return to your usual surroundings, repeat the steps above and select, Don't blur background.

And my bonus tips for today - don't move too quickly, and don't expect your hair to look great!

In the Corporate Sales dialog, invoice due dates, including credit note dates, are automatically populated based on the Start and End Date which is keyed into the Price Summary section of the Invoice Screen.

The End Date also defaults to the end date of your particular season or financial period.  I've seen customers using the date-picker to navigate from month-to-month to select a specific date; I've done this myself!

But just yesterday, I "discovered" the Today button, and given my excitement, it's today's Tip o' the Day.. from yesterday!

Everyone's view of the world is different. Likewise, what's important information for you might not be important for someone else.  Different views of information that's stored in SportsRM or Council RM, make it easier to work with filtered slices of records, but navigating to your favourite view, can take a few extra clicks each time, which over a life-time.. adds up to a lot of clicks!

To the left of each view, you'll notice a "pin" icon.  If it's pointing to the left of screen, it is an un-pinned view and not a default. Each user can set their default view for every record type.  Simply click the pin and it will change its direction to pointing to the bottom-left of screen.  You can set a default view on every record type, and you can even use a "My View" as your default.  So you could have Active Accounts, Corporate Portal Contacts, and My Orders set as your defaults, which can be completely different to your colleagues. Get pinning!

When you're participating in a Microsoft Teams Meeting, one of the collaboration features is the ability to share your screen. Have you ever then wanted to play a video for the others in the meeting, but they haven't been able to enjoy the audio?

When you click the "share" icon - an upward-facing arrow inside a rectangle - from the Teams console and you're deciding which part of your display to share, you may not have noticed the "Include system audio" check-box in the top-left of the share panel. The "share" icon by the way is in between the "microphone" and the "three dots" - a.k.a., the ellipsis (...).

Select the "Include system audio" checkbox as you prepare to share and then the other participants will be able to hear audio from your computer/device, including audio from videos.

EngageRM's Dynamics and Office 365 Tip o' The Day, #7

Friday's Tip o' The Day offers some information and self reflection on your approach to tasks.  There's graphs too, so you know it's true!

We all know lots of operators from both camps, and what we find too is that these two groups often come together - with their experience of the task, and their skills in tech - to collaborate on well thought-out and well-designed solutions.

When you receive an invitation to an online Teams meeting, you will almost-always find a link to "join the meeting", somewhere in the body of the email.

If there's an amount of content in the body, the link can be buried a way down requiring you to scroll.  If you are using Outlook, the calendar notification includes a handy, "Join Online" button, but if you've opened up the meeting from your calendar first, well then today's Tip ' The Day would like to direct you to the Join Teams Meeting button from the meeting ribbon.

Check your speed..!!

One of the things that has the largest effect on how efficiently and effectively you can work is your internet speed - the speed at which your computer receives and dispatches information from rest of the online world.

You can do this on your own computer by going to this link: https://www.speedtest.net/

The standard speed for the NBN is 15-22 Mbps (Megabits per second) however it is often dependant on the speed of data coming from the street into the building in which you are situated. Checking this will give you an idea of how fast you are operating compared to what is possible.

Despite having the NBN and being advanced in many ways, Australia falls behind many other countries in this regard. The image below shows my internet speed in Melbourne versus that of a colleague on Thailand! I have a particularly bad connection it seems, but 800 times faster? I’ve got some work to do...

Cheers, Ned
